Job Overview:
The Theatrical Protective Union, Local No. One, I.A.T.S.E., located on West 46th Street in New York City, is looking for an experienced full-time, onsite Bookkeeper. Under the direction of the Treasurer, this position is responsible for performing a variety of bookkeeping and accounting duties, including financial record keeping and transactions, A/P, A/R, monthly billing, payroll and General Ledger.
The optimal candidate will have experience with QuickBooks and ADP payroll software, working in a union setting, demonstrated professionalism and tact in communications with diverse individuals, strong organizational and time management skills, acute attention to detail and ability to work well with members of the Local One staff.
Responsibilities and Duties:
- Record Transactions – Maintain clean and accurate day-to-day financial records and general ledger entries, reconciling data.
- Accounts Payable – Enter invoices and obtain W9 forms from vendors, prepare aging schedule, select invoices for payment, issue checks and prepare check register.
- Accounts Receivable – Assist with the processing of remitted Union dues from employers and resolve discrepancies, process other payments received by Union and ensure receipts are coded correctly into the general ledger, and prepare deposits and ensure delivery to applicable bank account.
- Reconciliation – Perform regular bank, credit card and Union dues account reconciliations.
- Reporting - Prepare periodic financial reports for Treasurer, Auditors and Trustee meetings. Maintain organized accounting records to support the annual audit and tax filings in coordination with external auditors.
- Voucher System – Organize and maintain Union voucher system.
- Payroll and Personnel Records – Prepare and process weekly staff payroll using ADP payroll software; distribute W-2 forms; prepare annual 1099 and 1096 filings; assist external auditors with year-end payroll audit. Maintain personnel recordkeeping for staff.
- Union Benefits – Work with Business Managers and other Officers to prepare payments of union benefits to applicable members.
Qualifications:
- Bachelor’s degree in accounting or related field.
- A minimum of 3 years of bookkeeping/accounting experience
- Union or non-profit experience is preferred
- Strong understanding of standard accounting concepts, practices and procedures
- Proficiency in QuickBooks and Microsoft Excel required
- Experience working with an ADP payroll legacy system is preferred
- Excellent verbal and written communication skills
- Strong organizational, problem-solving and analytical skills; ability to manage priorities and workflow
- Ability to handle financial information with discretion
Compensation and Benefits:
Local One provides competitive compensation and a comprehensive benefits package.
Salary range is $85,000 – $105,000. The advertised pay scale reflects the good faith minimum and maximum salary range for this role, and the specific compensation offered to a candidate may be dependent on a variety of factors, including, but not limited to, the candidate’s experience, education, special qualifications and other factors.
