Office Manager / Bookkeeper

The American Federation of Teachers (AFT) – Maryland is a federation of local affiliate unions representing teachers and public employees throughout the State of Maryland. The AFT-Maryland is seeking a highly qualified individual who will be responsible for managing the office and bookkeeping. The Office Manager / Bookkeeper will oversee the daily business operations and administrative activities to ensure the workplace runs efficiently, record, track, and organize daily financial transactions. DUTIES & RESPONSIBILITIES
- Balance and maintain accurate ledgers- accounts payable, accounts receivable, and general ledger for multiple accounts. Monitor office expenses.
- Generate invoicing, bank deposits, and manage EFT as well as check processing.
- Coordinate bank deposits and report financial results on a regular basis to management
- Process expenses for staff each week through QuickBooks
- Inter-fund revenue and expenses should be recorded in accordance to budget
- Assist accountants with monthly reporting and audits
- Reconcile all bank accounts and credit card statements.
- Generate basic accounting reports as required such as Budget, Profit and Loss and Balance Sheets.
- Maintain electronic and paper files for audit preparation and assist auditors as required.
- Prepare and maintain reports for submission of variable reimbursements.
- Handling of registrations, travel arrangements and accommodations for conferences, conventions, and events
- Create and maintain Excel worksheets with knowledge of complex formulations and merging multiple documents.
- Attend Board meetings and record minutes.
- Assist leadership, locals, and staff as needed.
- Manage the AFT MD office: Open and close office, open and process postal mail, prepare and distribute correspondence, secure meeting space, monitor equipment and supply needs, print postage, maintain and order office supplies, report issues to property management company, and maintain confidentiality of all office records.
- Excellent computer skills required, especially facility with Excel, Word, electronic filing systems, Google Suite, QuickBooks.
- Ability to train and oversee other administrative staff when needed.
- Answer phones and email and refer member inquiries to appropriate representative, facilitate questions of members presenting in the office.
- New employee onboarding.
- Prepares and presents regular updates for the President
- Provide staffing support for the Federation’s events, conferences, convenings, and other meetings.
- Perform other assigned duties as necessary
Qualifications
- Experience working in accounts payable and receivable, general ledger, payroll and payroll reports, disability and retirement benefit payments
- Strong knowledge of generally accepted accounting principles
- Extensive experience with data entry, record keeping and computer operation
- Proficiency in Microsoft Office Excel and QuickBooks
- Experience in services related to payroll and benefits such as onboarding, writing checks and submitting payroll taxes
- Prior experience working in, or knowledge of, the labor movement.
- Strong customer services and communication skills.
