Position Overview
The Executive Assistant provides high-level administrative support to the Executive Director and plays a key role in ensuring efficient daily operations. This position manages complex scheduling, communication, document preparation, meeting logistics, and information flow in a fast-paced executive environment.
Key Responsibilities
- Manage the Executive Director's calendar, meetings, travel, and daily workflow.
- Prepare and process travel expenses, reports, and documents.
- Draft, edit, and proofread correspondence, reports, presentations, and meeting materials.
- Prepare Board Meeting Minutes and assemble Board Meeting Notebooks.
- Coordinate meetings, conferences, catering, A/V needs, and logistics.
- Maintain digital and physical filing systems, update affiliate information and records.
- Screen and prioritize emails, mail, and phone calls; manage incoming communications.
- Review payables, credit card statements, and expense reports for accuracy.
- Support budget development, financial documentation, and audit preparation.
- Supervise administrative support staff and delegate tasks as needed.
- Maintain office schedules.
- Perform general administrative duties to support overall office operations.
Qualifications
- High school diploma or GED required; 8 – 10 years of administrative or executive support experience.
- Strong organizational, communication, and time-management skills.
- Ability to handle confidential information.
- Ability to prioritize competing tasks and maintain accuracy in a fast-paced environment. Proficiency with Microsoft Office Suite, and current office software and systems.
Physical & Work Requirements
- Ability to sit, type, and communicate frequently.
- Ability to lift up to 10 lbs occasionally.
- Standard office environment; occasional travel required.
