Administrative Assistant

Based in Landover, MD

 

Location: Landover, Maryland
Classification: Full-Time, FLSA Exempt
Compensation: Full benefits package including health, dental, pension, 401(k), and legal services

About the Role: Local 400 is seeking a highly organized, proactive Administrative Assistant to support our directors, representatives, organizers, and members. This role is central to ensuring smooth daily operations and requires a professional who thrives in a dynamic, mission-driven environment. You’ll interact with staff, union members, potential members, and labor and political allies—helping advance the work of the labor movement.

Key Responsibilities:

  • Provide comprehensive administrative support to ensure efficient office operations
  • Maintain organized physical and digital filing systems
  • Answer and route phone calls; greet and assist members and visitors
  • Manage email and digital correspondence
  • Support directors with calendar management and travel arrangements
  • Draft, edit, and format letters, reports, and other documents
  • Enter and update data in databases and spreadsheets
  • Prepare meeting agendas and record accurate meeting minutes
  • Coordinate meeting logistics, including room setup and catering
  • Create and edit documents using word processing and presentation software
  • Operate and troubleshoot standard office equipment (printers, copiers, fax machines)
  • Collaborate with other administrative staff and provide cross-team support
  • Handle sensitive information with discretion and maintain confidentiality
  • Prioritize tasks effectively and meet deadlines in a fast-paced environment
  • Represent the organization with professionalism and a positive attitude
  • Demonstrate initiative, strong follow-through, and forward-thinking problem-solving

Qualifications

  • Experience in an administrative or office support role
  • Proficiency in Microsoft Word, Excel, and Adobe
  • Strong communication and organizational skills
  • Ability to sit at a computer workstation for extended periods
  • Ability to lift to 20 pounds
  • Flexibility to work long or irregular hours, including some evenings and weekends
  • Willingness to travel occasionally
  • Commitment to the values and demands of the labor movement

Working Conditions: This position operates in a standard office environment with core hours of 8:30 AM – 4:30 PM. The role may require additional hours based on organizational needs.
