Administrative Specialist

Job Description
- Provides administrative support to ensure efficient office operations.
- Maintains physical and digital filing systems.
- Answer general inboxes and directs inquiries to appropriate personnel and schedules appointments
- Managing incoming communications by answering phones and directing calls and emails to the appropriate staff members.
- Receiving, sorting, scanning, and distributing deliveries and mail efficiently.
- Performing various clerical tasks, including copying, faxing, mailing, and filing documents.
- Schedule and organize complex activities including but not limited to record keeping, internal and external communications, meetings, travel and expenses, manage calendars, and other areas as assigned.
- Assists in meeting and event creation, registration, and ensuring member status checks. Assist with travel arrangements.
- Compile and support generating financial statements and tracking using Quickbooks and other tools for expense statements, travel authorizations, and reimbursements consistent with policy and in a timely manner.
- Assist in the planning of logistics for rallies and other actions/events, including onsite support.
Desired Qualifications:
- Demonstrated proficiency in Google Suite including Google Docs, Windows, Microsoft Word, Microsoft Excel, Microsoft PowerPoint, Adobe, and Jotform.
- Demonstrated experience with Zoom, Google Meet and other virtual meeting platforms

Position Details:
- Hybrid telework. Sacramento-centered.
- Must be a California resident. The position is full-time (40 hours per week), with scheduling to be coordinated within standard office hours (9:00 am to 5:00 pm). This position involves sitting at a computer workstation for an extended period and potentially lifting up to 20 pounds. The job may infrequently entail working long or irregular hours, including some evenings and weekends. Sporadic travel may be required.
