Records Coordinator

Today, we represent the most highly skilled trowel trades craftworkers across the United States and Canada including bricklayers, stone and marble masons, cement masons, plasterers, tile setters, terrazzo and mosaic workers, and pointers/ cleaners/ caulkers. With over a century of protecting the rights of our workers, BAC is the oldest continuous union in North America.

The Position:
The International Union of Bricklayers and Allied Craftworkers (BAC) is seeking a responsible coordinator who will be responsible for managing, organizing, and maintaining physical and electronic records in compliance with organizational policies and applicable regulations. This role ensures the integrity, accessibility, and security of records throughout their lifecycle. 

Duties and Responsibilities:

  • Support all operations of the Records Management Department (RM) including 
    • Database Management – ApplicationXtender
    • Document Scanning and Archiving 
    • Off-Site Document Storage and Retrieval
    • Implement Records Retention Policies
    • Facilitate Records Destruction (as per policy)
    • Research
    • Customer Service
  • Ensure records are accurately classified, indexed, and stored
  • Assist in implementing records retention schedules and disposal procedures 
  • Assist staff of various entities in all aspects of document scanning and record retention 
  • Train staff on standard operating procedures and records management best practices
  • Organize high volume scanning projects contracted to outside vendors, including uploading deliverables by vender into software system
  • Run routine audits of documents retained on ApplicationXtender, support audits and legal requests by locating and preparing relevant documentation 
  • Work with Information Technology staff and outside consultant/engineer to resolve any technical issues that may arise with the ApplicationXtender system
  • Records Storage – Support operations related to archiving hardcopy documents and accessing documents from off-site storage vendor 
  • Records Destruction – Batch and shred documents according to standards outlined in the Records Retention Policy

Qualifications:

  • Associate or bachelor’s degree in library science, Information Management, Business Administration, or related field 
  • 2+ years of experience in records management or administrative support
  • Familiarity with records management systems and software 
  • Strong organizational and time management skills 
  • Attention to detail and ability to handle confidential information
  • Excellent communication and interpersonal skills
  • Must have technological skills and willing to learn new technologies that may be implemented in the future
  • Retain a customer service temperament when interacting and assisting staff and managers

Preferred Qualifications: 

  • Certification in Records Management (CRM) or similar credentials
  • Experience with electronic document management systems (EDMS)
  • Knowledge of federal and state records retention laws

Skills & Requirements:

  • Knowledge of business records and retention procedures
  • Ability to communicate effectively
  • Must be able to work physically in the office 
  • Must be proficient in Microsoft Office suites 
  • A working understanding of records retention software, ApplicationXtender a plus
  • Must be able to lift boxes of documents which may exceed 50lbs

Salary Range: $65,000 – $75,000 based on qualifications.

Schedule: Monday to Friday (this is NOT a remote position)
