Payroll Benefits and Accounting Specialist

We are searching for an experienced Payroll Benefits and Accounting Specialist with experience in processing and reconciling bi-weekly payroll, employee deductions and reimbursements. This position is responsible for the accurate reporting of General Ledger entries for payroll accounts and balancing payroll accounts within the current and any future payroll and accounting software systems. This position assists with employee payroll inquiries and resolves discrepancies. The position creates new employee profile information, maintains employee files and an HR filing system. This position will support existing processes and procedures and will be encouraged to make suggestions to increase efficiency. Experience and expertise in accounting and payroll practices as well as strong interpersonal skills and ability to collaborate are all preferred. Maintaining confidential information by adhering to legal and ethical standards is required. Assisting at the front desk with greeting visitors, monitoring union email accounts, answering phones and monitoring building entrance access are also required.
We are currently seeking someone exceptional to take the helm. The ideal person should have excellent punctuality and attendance. This person must have a demonstrated ability to contribute to creating a positive work environment that encourages personal responsibility, initiative and innovation. Candidates must recognize that working in the labor movement is tough, demanding yet rewarding work. This position is a full-time, in-person ONLY position, 5 days a week; and some overtime which may include Saturdays, depending on workload and priorities. The position reports to office headquarters in San Francisco. There is no hybrid opportunity.
Salary: Starting at $45.23 per hour
Supervisor: Reports to the Strategic Operations Director
Requirements and Qualifications:
To perform this job successfully, an individual must have three years of hands-on experience in general ledger accounting payroll and benefits and be able to perform each essential duty satisfactorily. IFPTE Local 21 reserves the right to modify such standards when the job or position does not otherwise require a particular level of performance. Other duties may be assigned. This list may be supplemented.
Computer/Software Skills
- Ability to organize and prepare documents requiring the integration of multiple office technology and software including word processing and spreadsheet applications (mid to advance knowledge of excel VLOOKUP and pivot tables) preferred.
- Experience with Microsoft Suite software
Other Knowledge/Skills/Abilities Required
- Demonstrated mathematical ability
- Proactive ability to define problems, identify potential issues, collect data, establish facts, and draw valid conclusions in written, oral and/or diagram form with use of spreadsheets.
- Must be a self-starter, work independently and be able to manage several tasks at one time.
- Ability to work with tight deadlines
Accounting Duties and Responsibilities:
- Assist with the budgeting process.
- Assist with fiscal year and calendar year-end functions
- Processes, makes journal entries and disburses payment requests daily
- Reviews, processes and reconcile invoices and vouchers for expenditures incurred
- Verifies that all transactions have proper approvals and proper support in accordance with policies and procedures and according to acceptable accounting standards
- Enters all vendor information for sales and use tax and form 1099 and assists in its preparation and reconciliation
- Reviews complex expense distributions and reconciles GL reports of outstanding items
- Prepares special reports as requested.
Payroll and Benefits Duties and Responsibilities:
- Obtain necessary employment & tax forms from newly hired employees.
- Process all IFPTE Local 21 Executive Committee requests for lost wages and other expense reimbursements.
- Assembling reports on company earnings, taxes, deductions, leave, disability payments, and non-taxable wages
- Ensuring databases are set up and reflect the current employee base, including salaries, hourly wages, benefits, and pension percentages Track and enter sick calls, request for time off requests and vacation pay requests in a database with the ability to produce reports monthly
- Working with cross-functional stakeholders to ensure benefits and payroll services are delivered
- Prepare all required internal and external reports, as well as month-end reports.
- Calculate retroactive pay, salary increases, and other compensation elements as required.
- Monitor and control compliance with various payroll laws, collective bargaining agreements, MOUs, and administrative directives to optimize the efficiency of payroll processes.
- Processes and pays death benefit claims for Pension Plan and various life insurance policies.
- Prepares and sends new employee paperwork, monitors receipt of enrollment materials, and creates new employee files
- Maintain Sec.125 Plan Employee files (cafeteria plan)
- Maintain files for employees participating in voluntary 401k plan
- Administer Commuter Check Program.
- Opens, date stamps and distributes incoming mail.
- Maintains employee confidence and protects operations by keeping data strictly confidential, including, but not limited to, the privacy provisions of the Health Insurance Portability and Accountability Act (HIPAA).
- Notifies necessary participants of address changes for the Savings and Retirement Plans.
- Communicates with investments firms regarding data interchanges on the Savings and Retirement Plans.
- Assists with yearly audit of the Savings and Retirement Plans.
- Prepares special reports as requested.
Physical Demands
While performing the duties of this position, the candidate is regularly required to: use hands to finger, handle, or feel objects tools, controls, and equipment; both see and hear; walk, sit, climb stairs and stand; You must have the ability to communicate verbally on the telephone and in person; regularly lift up to 20 lbs.; and regularly kneel and bend.

Compensation for this position is $45.23 per hour. Benefits include medical, dental, vision, and a generous accrual of vacation and sick time. This is a full-time hourly position and is included in a collective bargaining unit represented by Office and Professional Employees International Union Local 29. Specific employment terms are subject to a Collective Bargaining Agreement (CBA).
