Union Services Administrative Assistant

In-office, with limited remote work
Salary – $55K

Reports to Vice President, Union Outreach & Communications

Responsibilities

  1. Responsible for general secretarial duties for Union Outreach Vice President, Union Outreach team and Union Service Representatives. 
  2. Responsible for invoices, sponsorships and bill payment for all vendors and union partners, aligning financial transactions with department budget categories.
  3. Responsible for making meeting and travel arrangements as requested for Union Outreach Department.  
  4. Responsible for keeping an accurate, up-to-date department calendar.
  5. Responsible for maintaining accurate records and calendars for union events, partner participation, subscription agreements, contracts.
  6. Responsible for updating and distributing internal tracking documents monitoring union contracts and participation. 
  7. Responsible for maintaining accuracy of International Officer and Liaison portion of database. 
  8. Responsible for monitoring and responding to incoming email and phone calls as requested for Union Service Representatives. Responds to email and phone calls to Liaisons as requested. 
  9. Responsible for assisting with coordination of annual Liaison conference, including facilities, travel, and meals as well as communication with attendees. 
  10. Responsible for sending marketing materials and requests to Liaisons; assisting in follow-up; tracking and receiving materials when they come in; and forwarding to appropriate individuals. 
  11. Responsible for coordination of promotional material distribution and mail delivery for Union Outreach Department. 
  12. Responsible for keeping Union Outreach team members informed on daily events and issues while they are on travel. 
  13. Responsible for relaying member inquiries and complaints that come from international and local unions to Member Advocate or other appropriate party for handling. Keeps liaison and appropriate parties informed of progress and resolution of complaints. 
  14. Responsible for handling union member verification requests for required programs and awards.
  15. Responsible for other duties as assigned. 

Position Requirements

  1. Excellent spoken and written English; excellent grammar and usage; excellent proofreading skills
  2. Ability to juggle multiple responsibilities and produce consistent, high volume of output while dealing with interruptions 
  3. Highly organized work style
  4. Good knowledge of unions, Union Plus programs helpful – or ability to learn a high volume of new information very quickly
  5. Excellent written and telephone skills; ability to handle difficult callers, diffuse angry/upset union leaders or members
  6. Good data management skills 
  7. College degree or equivalent work experience
  8. Ability to handle heavy workload and still meet deadlines
  9. Ability to prioritize work to meet deadlines. 
  10. Very thorough, with high level of attention to details
  11. Word and Excel skills. Ability to do mail merges from spreadsheet and main database. 
  12. Ability to use Microsoft and NetSuite tools to keep track of many assignments and report on status
