United Scenic Artists, Local USA 829, IATSE is accepting applications for the position of Operations Associate/Receptionist.
The Operations Associate/Receptionist reports to the Operations Director and works closely with Local Union staff, leaders, members, and various vendors. This role is responsible for helping to ensure the operational efficiency and effectiveness of the national union—which includes three offices along with regional staff as well as members and union leaders across the nation.
This person in this role will engage with all stakeholders to provide information, connection, and support, often serving as the first point of contact for members and partners alike. As a staff member who will directly be involved in supporting the organization broadly, this role seeks to assist, guide, and both creatively and collaboratively problem solve and innovate.
Note that because of the nature of this position, some evening and weekend hours may be necessary.
Description of Duties
Receptionist
- Ensure all who interact with the union—whether in person or on the phone—know that they are welcome
- Engage, direct, and communicate with members and vendors on the phone, via email, and in person
- Coordinate and communicate various logistics for staff, leaders, members, and vendors (i.e., room scheduling/needs, travel, lodging, etc.)
- Provide administrative and operational support for all Local Union stakeholders as needed—which includes inventory and supply ordering, communication support, scheduling, document processing and preparation, etc.
- Receive, sort, and distribute mail and parcels daily as well as schedule mail pickups
- Compile and enter relevant data into union database and internal platforms as needed
- Accomplish other tasks as needed
Operations Associate
- Assist Operations Director with establishing, implementing, and monitoring office procedures and standards—including staff and leadership onboarding, recruitment scheduling, and internal coordination of projects
- Train and support stakeholders who utilize various office spaces regarding any necessary technology, logistics, or needs
- Ensure various office products and other supply-based needs are available as needed
- Liase with vendors and assist in monitoring/reporting on technological products and services
- Plan, with the Operations Director, annual departmental budget while anticipating upcoming needs of the department, staff, and leadership
- Coordinate, support, and collaborate on internal and external events
- Help comprehensively guide department and office initiatives—which may include document preparation and compiling, digital filing, data entry, and presentations
Skills Requirements:
- Excellent verbal and written communication skills, including public speaking and presentations
- High degree of computer literacy (such as Microsoft Office) and ability to learn/utilize new technology or communication platforms as needed
- Cares about the details: High level of organization, time management, and operational effectiveness
- Can lead a team, but also work independently while setting own and departmental SMART goals
- High sense of emotional intelligence; experience working with people from a diverse array of backgrounds
- Creative and collaborative problem solving upon identifying operational issues, challenges, and needs
- Naturally enterprising, genuinely curious, and a passion for the value and necessity of the labor movement
About the Candidate:
The successful applicant should have great communication skills—both verbal and written—and at least two years’ experience that demonstrates compatibility with the position described above. This individual should have a keen interest in learning about the entertainment industry—particularly the various crafts represented by Local USA 829—to better and bolster our organizational efficiency and effectiveness. The ability to dream big, enterprise, innovate, and collaborate with many stakeholders are key components of this position.
Previous experience within the entertainment industry, labor movement, or other advocacy organizations is a plus. In addition, those with working experience within the entertainment industry in one of our represented crafts are encouraged to apply.
The salary range for this position is $70K-$80K, plus an excellent benefits package. This position is based in our New York City office.
This role is a union position, represented by the Office & Professional Employees International Union, Local 153.
