Teamsters Local 2010 is pleased to announce the opening of an Administrative Assistant position in Oakland, California to be filled as soon as possible.
This position offers a unique opportunity to support organized labor and social justice issues for administrative and skilled trades union workers employed in higher education. The Union is currently seeking to fill one position to support our dues collection, financial and accounting, and other general office functions in the Union headquarters located in Oakland, California. This position will report directly to the Operations Manager and is considered at-will.
Description of Duties
- Review membership dues collected from different sources like online payments, mailed checks, and membership databases against the corresponding accounting records (due check-off); ensure all charges are accurate and make necessary adjustments on delinquent accounts by posting adjusting entries to the TITAN or other membership payment and tracking programs
- Detect any inconsistencies between the collected dues and the recorded amounts, such as missing payments, duplicate entries, or incorrect amounts; research the cause of discrepancies by contacting members, checking payment processing records, and reviewing relevant documentation
- Take appropriate action to correct errors, including adjusting entries in the accounting system, contacting members regarding outstanding payments, and following up on unresolved issues
- Generate reports summarizing dues reconciliation activities, including details of discrepancies found, actions taken, and trends observed; keep accurate documentation of all reconciliation activities, including supporting documents and communication logs
- Prepare and deliver monthly statements for dues/initiation payment for member agencies; maintain records of payments; processes and approve membership transfers and waivers or reduction in dues, prepare monthly and other reports as needed
- Support general accounting, financial and reporting including AP/AR, payroll and benefits processing, bank and credit card reconciliations, and month-end reporting and accounting functions
- Update, monitor and track membership activity relative member engagement, incentive programs, contests, and/or related campaigns
- Receive calls and visitors; respond to general complaints and requests for information from the public; interpret basic services, policies, rules, and regulations in response to inquiries and complaints; assist in the resolution of concerns and complaints; refer inquiries to appropriate staff; route calls and take messages as appropriate
- Prepare confidential and urgent correspondence. Type, proofread and word process a variety of documents including general correspondence, agendas, reports, newsletters, and memoranda
- Perform a wide variety of general administrative work including maintaining files and records, verifying accuracy of information, and recording information. Assist in office maintenance and ordering of supplies
- Ensure adherence to internal policies, procedures, and labor agreements; interact with member agencies regarding contract interpretation, procedures, and rules and regulations in compliance with local union and International bylaws
- Coordinate details of special events such as conferences, trainings and meetings. Calculate budgets and ensure they are adhered to. Book talent, including musicians, bands, and disc jockeys. Select chefs, catering companies or food trucks to prepare food for events. Coordinate and monitor event timelines and ensure deadlines are met; operate modern office machines and equipment including calculating or adding machine, word processors, computers, typewriters, printers, copiers, calculators, and FAX machines; routinely use a full range of spreadsheet computer software applications
- Prepare and mail new member application packets; gather information and process member applications to determine and identify qualified applicants based on established criteria
- Assist in HR-related compliance with personnel related legal requirements and contractual obligations, including collective bargaining, conflict resolution, administration of grievance/arbitration procedures, information management and reporting and disclosure responsibilities
- May provide cross-training to other administrative staff
Minimum Requirements
- Degree in Accounting or high school diploma with a minimum of 3 years of collections or accounting experience
- Demonstrated proficiency with Microsoft Office especially Excel. Experience with dues collections platforms, Salesforce and Quickbooks preferred
- Outstanding data entry skills; account reconciliation experience desired
- Effective organization and project management skills; excellent English and grammar spelling skills
- Excellent attention to detail; ability to multi-task and work well under pressure; prioritize and produce a quality work product within deadlines
- Ability to work well in sensitive situations in person or over the telephone; capable of interacting professionally and maintain a high degree of confidentiality
- Highly motivated and the ability work independently as the situation requires
- Experience working for a labor union or non-profit organizations preferred
- Occasional travel and weekend work required
- Typing proficiency of 50 wpm
Physical Demands: This position includes office work requiring periods of sitting, walking, standing, bending, twisting, grasping and moving or lifting heavy items.
Compensation
Teamsters Local 2010 offers a competitive wage with the hourly range for this position ranging from $26.67/hour up to $38.85/hour depending on education and experience. In addition, medical, dental, vision, life and retiree health insurance will be provided. An auto allowance will be provided.
