JOB TITLE: Executive Administrative Assistant
FLSA STATUS: Non-Exempt

POSITION SUMMARY
Under the general supervision of the Labor Relations Director, this position assists the Labor Relations Director and Business Agents in supporting representation of individuals and small groups in grievances and matters subject to “consultation” or negotiation with the employer. The Representation and Research Coordinator also assists the Labor Relations Director with analyses of union trends and marketplace information for bargaining campaigns and will assist with other research as defined by the Board and the Labor Relations Director.

ESSENTIAL FUNCTIONS

  • Receives, screens, and analyzes incoming members’ employment problems pursuant to the training and direction received from Labor Relations Director.
  • Organizes, logs, and routes members’ employment problems to Business Agents as appropriate.
  • Arranges for representation of members at all necessary meetings and interviews.
  • Coordinates the attendance of members, Business Agents, and management at meetings.
  • Assists with preparation of documents and witnesses and other related tasks for members’ representation.
  • Maintains correspondence and representation files.
  • Maintains and updates representation reports.
  • Maintains the Staff calendar.
  • Assists the Labor Relations Director on development of projects or carrying out assignments pursuant to Board direction.
  • Provides research and assistance to Business Agents in individual and group representation matters.
  • Provides support for the Labor Relations Director meetings and activities with other Union and Management representatives.
  • Provides research and support in Association’s negotiations and “consult” sessions with Management representatives.
  • Researches and analyzes comparable agency employee compensation data for use in contract negotiations and/or Joint Labor Management Committees.
  • Conducts various types of research to support Union goals and efforts.
  • Conducts research of County and State policies as needed to assist in CAPE policy development and campaign strategies.
  • Presents findings through written materials and/or oral presentations as needed to the CAPE Board, Negotiating Teams and lead staff.
  • Performs related duties as assigned.

NECESSARY SPECIAL REQUIREMENTS
Must possess strong organizational skills; demonstrate an ability to exercise judgement, strong written and verbal interpersonal skills; demonstrate an ability to multi-task, and be independently motivated and enjoy working alone.

PHYSICAL DEMANDS

  • Constantly operates a computer, occasionally other office equipment.
  • Occasionally required to move, raise, reach or retrieve files, binders and boxes up to ten (10) pounds.
  • Must have a valid California Driver’s License, proof of car insurance with current required level of coverage, dependable vehicle and be willing to travel occasionally within the County Los Angeles.

COMPENSATION AND BENEFITS

  • Starting hourly wage is $30.67 for a 40-hour week.
  • Regular business hours are 8:30 a.m. to 5:00 p.m.; willingness to work overtime with advanced notice.
  • Benefit package includes medical, dental, vision, life and 401(k) plan with employer-match; opportunity for telework after 6-month probationary period.
  • Vacation and sick leave, plus paid holidays.
