Job Title: Administrative Assistant to the President
Reports to: President
Job Purpose:
The Administrative Assistant will provide high-level administrative support to the President.
Job Duties:
- Completes a broad variety of high-level administrative tasks for the President including but not limited to completing expense reports; composing and preparing correspondence that is sometime confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.
- Performs clerical and administrative tasks including drafting letters, memos, invoices, reports, and other documents.
- Must be able to work independently with little or no supervision.
- Prepares all letters, memos, and reports for the President. Reviews outgoing correspondence for the President's signature, proper format, content, and enclosures. If warranted, recommends changes.
- Reviews all incoming mail for the President and determines what can be handled personally. Initiates replies to routine correspondence.
- Liaison with offices at Postal Headquarters, other Postal Unions, Capitol Hill, Office of Personnel Management, U.S. Dept. of Labor, Atlanta Postal Credit Union, and other business associates.
- Attends the annual National Convention.
- Assists in preparation and planning for the annual National Convention including VIP/speaker invitations, and the management of the day-to-day schedule of the President.
- Manage multiple projects simultaneously, and follow through on issues in a timely manner.
- Researches, prioritizes, and follows up on incoming issues and concerns addressed to the President, including those of sensitive or confidential nature. Determines appropriate course of action, referral, or response.
- Be responsible for heavy calendar management, requiring interaction with both internal and external executives and assistants, as well as consultants, to coordinate a variety of executive meetings.
- Schedules and attends meetings on behalf of the President, taking notes and recording minutes.
- Receives incoming communication or memos, reviews contents, determines importance, and summarizes and/or distributes contents to appropriate staff.
- Performs office tasks including maintaining records, ordering supplies, and performing basic bookkeeping.
- Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
- Performs additional duties as assigned by the President.
- Manages the Admin website email account and responds to phone calls with membership regarding technical website issues. Liaison with the NRLCA Membership Department in resolving issues relating to a carrier’s membership status.

- Extensive knowledge of office administration, clerical procedures, and recordkeeping systems.
- Able to type minimum of 50 words per minute.
- Extremely proficient with Microsoft Office Suite, Adobe Acrobat, and Social Media web platforms, or similar software with the ability to learn new or updated software.
- Ability to maintain the NRLCA website in the capacity of Webmaster. Utilizes a content management system (CMS) in order to update and modify the website on a daily basis.
Education and Experience:
- High school diploma required; Bachelor’s degree in Business Administration or related field preferred.
- Strong work tenure with at least 5 years of supporting executives.
Physical Requirements:
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 30 pounds at times.
- 2 weeks travel once per year
Compensation & Benefits:
Starting salary is $70,551 with annual and bi-annual increases accordingly to salary scale. This position is a full-time (40-hour work week) non-exempt position; 100% in the office, Monday – Friday. Benefits include health insurance, 401-K(matching), vacation and sick days, Flexible spending account, employer paid dental, vision, and life insurance.
